Managing Private Offers in Azure Marketplace

Overview
Private offers in the Azure Marketplace allow vendors to provide customized pricing and terms tailored to your organization's specific needs. These offers are tied to your existing Azure subscription and follow your current billing cycle and payment preferences.
Completing a private offer is a two-step process: you must first accept the offer terms, and then separately complete the purchase. Simply accepting the offer is not enough — billing does not activate until the purchase step is also completed.
Prerequisites
Before working with private offers, ensure you have:
- An active Azure subscription
- The appropriate permissions (Owner, Contributor, or Marketplace Admin role)
- Access to the email address associated with your Azure account
Finding Your Private Offers
You'll be notified of new private offers in two ways:
Email Notification - Azure sends an automatic email with a direct link when a vendor creates an offer for you.
Azure Portal - Navigate to the Azure Marketplace and select "Private Offer Management" to view all available offers for your organization.

Step 1: Accept the Private Offer
Review the offer carefully before accepting, paying close attention to:
- Customized pricing terms
- Product details and included services
- Contract duration and renewal terms
Open the offer from Private Offer Management, review the details, and click Accept.

Note: Accepting the offer confirms you agree to the terms, but does not activate the subscription or trigger billing. You must complete the purchase in Step 2.

Step 2: Complete the Purchase
After accepting, you will be taken to the product's purchase page. Fill in the required subscription details and click Purchase to activate the offer and begin billing.

Once the purchase is complete, the private offer is active and charges will appear on your regular Azure invoice according to the negotiated terms.
Verifying Your Private Offer is Active
After completing both steps, confirm the offer is live before you begin using the product.
Check Private Offer Management
Return to Azure Portal > Marketplace > Private Offer Management and locate your offer. After accepting the offer, the status shows Accepted, pending purchase — this confirms acceptance is recorded but the purchase step is still needed. Once you complete Step 2, the product status updates to Ready and billing activates. If the status remains Pending after 60 minutes, contact support.

Confirm Your Subscription
Navigate to Azure Portal > Cost Management + Billing > Subscriptions (or SaaS under All Resources if this is a SaaS offer). Your new subscription should appear with the negotiated pricing reflected in the plan details.

Verify Pricing on Your First Invoice
Once your first billing cycle completes, review the invoice under Azure Portal > Cost Management + Billing > Invoices to confirm the private offer pricing is applied rather than the standard list price.
Note: If you are on a free trial, private offer pricing will not appear in Cost Management or invoices until the trial period ends and billing begins. This does not mean the private offer is inactive — once your trial converts to a paid subscription, the negotiated pricing will apply automatically.
Monitoring Costs
Use Azure Cost Management tools to track spending and set up alerts for your private offer purchases. Provided is Azure documentation for Azure Marketplace billing and invoicing, monitoring costs with Azure Cost Management, and setting up cost alerts.
